Data Verification Guide: Ensuring Accurate Data Alignment with Shopify

Introduction



Currently, we’ve built our app to automatically match the number of orders and inventory levels with Shopify. We also tested all sales numbers e.g. gross sales, net sales, tax & shipping, total sales, etc across different Shopify stores to ensure accuracy. However, no system is perfect, and sometimes there might be small issues when importing or calculating data.
This guide is here to help you easily verify that the key numbers such as sales orders and inventory numbers in our app match up with what you see in Shopify.

Key Data Points to Verify



- Sales orders: Including the number of orders, total sales, gross sales, net sales, discounts, and taxes.
- Inventory on hand: Quantities of product variants available.

Data Verification Steps



Pre-Verification Preparation

Before starting the data verification, ensure that our app has done importing data from your Shopify.

Data Comparison

a. Sales Numbers:
- Step 1: Access the app in your Shopify and click on the report "Last 30 days sales summary" to see the sales numbers in the last 30 days.





- Step 2: Open the sales report of Shopify in another tab of browser.
Access your Shopify
Click on the left menu "Analytics"
Click on the Total sales report
Choose the date range as "Last 30 days"



- Step 3: Compare the sales numbers below between the app & Shopify.
Number of orders
Total sales
Gross sales
Net sales
Discounts
Taxes
- Note that the Total sales are differennt than Gross sales.
Gross sales: equates to product price x quantity (before taxes, shipping, discounts, and returns) for a collection of sales. Pending and unpaid orders are included. Test, canceled, and deleted orders aren't included.
Total sales: equates to gross sales - discounts - returns + taxes + duties + shipping charges + fees.
Net sales: equates to gross sales - discounts - returns.

b. Inventory On hand:

- Step 1: Access the app in your Shopify and track the inventory numbers in the report "Stock on hand".



- Step 2: Track the inventory on hand of Shopify in another tab of browser.
Currently, Shopify does not provide the real time report to get the total inventory on hand. So you can get this value by exporting inventory from your Shopify, and then sum the totla quantity & amount.
Access left menu "Products/ Inventory"
Click on the "Export" button at the top right
Select options to export: "Quantity type" as "Only Available quantities", and "Export" as "All variants"





Another way, you can compare the inventory quantity of random products or top of highest quantity products


Manual Spot-Checks

Perform manual spot-checks on individual records to ensure detailed consistency. Randomly select a sample of orders, products, and variants, and verify that all relevant details (e.g., product inventory on hand, units sold of a variant, etc) match between the app and Shopify.
